Description:
POSITION SUMMARY:
Candidate will provide accounts payable and administrative support to the President and Finance Director. Assembles confidential and sensitive information. Deals with diverse group of external callers and visitors as well as internal contacts within the organization. Assists the Finance Director, Accounting and President functions as assigned and required.
Duties:
JOB DUTIES:
Serves as the Accounts Payable representative and processor.
Works with Quickbooks or other Accounting systems.
Establishes, develops, maintains and updates confidential, marketing and filing system for corporate office.
General administrative functions including developing and typing correspondence.
Responds to routine external correspondence as directed by Top Management.
Assists with receptionist duties.
Responsible for the company''s mail functions. Opens sorts and distributes incoming mail and prepares outgoing mail to include FED EX. Ensures mail log is current and updated daily.
As directed, schedules appointments and maintains Top Management''s appointment calendar.
Assists with travel arrangements to include reservations for hotel, transportation and car rental.
Responsible for coordinating with building management on office requirements such as painting, minor repairs, office keys, phone systems, etc.
Responsible for all office equipment and coordinates service calls as needed.
Provides recommendations and develops written work instructions relevant to the accounts payable functions.
Maintains necessary data to ensure vendors list is current and advise the Management Representative when a revision is to be made to the approved Vendors List.
Responsible for maintaining and monitoring the Records Retention Program.
Assists, attends and coordinates marketing events as needed.
Qualifications:
MINIMUM REQUIREMENTS:
Associates'' Degree (A.A.) or 1-2 years of college credits; or combination of experience and education.
Must have 3-5 years experience in an office environment.
Must be able to work overtime on special projects on as needed basis.
Must be proficient with Microsoft Word, Excel, Microsoft Outlook
Familiar with Quickbooks or other Accounting system preferred
Accounts Payable Process knowledge a plus
Basic understanding of Accounting Principles
Excellent writing, editing and proofreading skills.
Excellent communication skills, both orally and written.
Must have knowledge of office methods and procedures, filing, telephone techniques and office equipment.
Must have excellent interpersonal skills to handle sensitive and confidential information and situations.
Must be a self-started and able to work independently with minimal supervision. Must be able to prioritize tasks and work in a fast-paced work environment. Position requires poise, tact and diplomacy.
Must be able to maintain a good working relationship with all co-workers and the general public and to use good judgment in recognizing scope of authority.
General knowledge of federal contracting preferred.
