Departmental Overview
The Acquisitions Department reports to the AUL for Collections Services.  The Acquisitions Department 14 FTE provides and maintains the Librarys core acquisitions functions.  In the last fiscal year expenditures totaled $16.6 million, including $11.4 million in financial system transmissions, $4.3 million in UC consortial recharges, and $118k  in wire transfers.  The Acquisitions Department is comprised of four units, Ordering, Serials Check-In, Electronic Resources, and Gift and Exchange.
Responsibilities
The focus of this position is primarily on gift and de-accessioning processing in the Gift and Exchange Unit with a portion of the time spent doing serials check-in in the Check-In Unit.  The gift and de-accessioning processing consists of the evaluation, receipt, and review of gifts to the collections and the disposal of un-accessioned gifts and materials withdrawn from the Library collections.  The check-in work involves specialized support for the receipt and recording of serial publications in Millennium and performing the more difficult aspects of claiming, vendor correspondence and snag resolution.
Gift and De-accessioned Materials Processing Specialist
Manages the program for gifts-in-kind to the collections.  Works directly with donors to receive gift materials either on site or by collecting them from within a 35 mile radius of the Library using a University vehicle. Utilizes specialized knowledge of the collections and the used book market to assess the gifts suitability for the collection.  Oversees the processing of gift materials according to governmental and University policies.
Coordinates with selectors for the review and disposal of books to be de-accessioned from the collections. Develops and implements plans for removing books from the current locations.  Assesses value of materials using specialized knowledge of the book trade. Serves as vendor liaison for negotiating agreements for the sale of materials with market value and arranges for the disposal of remaining materials which are no longer required for the collection.
Supervises student employees who assist in the receipt, review and the acknowledgement of gift books and in the removal, packing, and disposal of de- accessioned gifts.
Check-In Duties
Thirty-percent of the time performs the full range of check-in functions at the specialist level including analysis, record updating and routing of serial and standing order materials in Western European and some non-Roman scripts. Interprets and analyzes check-in holdings, order and payment records in the ILS as necessary. Initiates claims as necessary and communicates with selectors and other technical services units to resolve problems with title, format and vendor changes and to expedite materials processing.
Required Qualifications
Solid experience with academic library collections and the out-of-print and antiquarian book trade that can be applied to the evaluation of gift and de-accessioned materials.
Demonstrated project management skills applicable to the receipt of donations and the de-accessioning of library materials which may consist of hundreds of volumes in a single project.
Demonstrated experience with an Integrated Library System preferably Millennium. This includes sufficient knowledge of bibliographic records to be able to identify author, title and pertinent information to match monograph and serial publications and interpret holdings
Basic computer skills sufficient to use various Windows applications including Microsoft Word and Excel and to search the internet to locate and search book dealer web sites.
Writing and word-processing skills sufficient for processing acceptance letters to be sent to donors, correspond with vendors and complete documentation related to the acquisition of gifts.
