Responsibilities
The Program Coordinator Event Planning is in
charge of planning and organizing Simons Institute
workshops, conferences and symposia. Duties
include managing event logistics such as
facilities, registration, marketing, speaker
travel and lodging, caterers and A/V consultants,
and staffing-flow coordination. In addition, he
or she serves as a key member in a collaborative
Programs Team, working closely with the Program
Coordinator Visitor Services to ensure an ideal
environment for collaborative research by visiting
and resident scientists. The two Program
Coordinators will provide substantial support for
one another in their respective domains the
precise distribution of events-management and
visitor-services duties among them will be
determined in part based on the skill sets and
interests of the two successful candidates.
This position may require participation in
occasional evening and weekend events.
This position offers an opportunity to join a
dynamic team in a start-up environment within the
University. The Simons Institute for the Theory of
Computing was established on July 1, 2012, and
will begin offering its inaugural public programs
this year. The ideal candidate will thrive in a
collaborative environment where team members often
work outside defined roles.
40% Conducts comprehensive event planning for
complex events, including event design,
development, coordination, implementation and
post-event evaluation
Ensures smooth-running, effective events
responsibilities include successfully recognizing
and resolving potential and real problems in a
timely manner using tact, sensitivity, discretion
and political acumen.
Directs and/or oversees multiple service
contractors and subcontractors, ensuring optimum
results
Conducts post-program analysis to ensure
continued success for the institute. The events
planned by the incumbent showcase the Simons
Institutes programmatic strengths and ensure
continued support for its programs.
10%Develops and maintains comprehensive event
budgets and ensures that event costs do not exceed
budgeted allocations. Expenses include travel and
entertainment expenses, publications, gifts,
honorariums, mailings, and recharges, among
others. Provides post-event reports to the
Managing Director.
35% Collaborates with the Program
Coordinator -- Visitor Services in creating an
excellent environment for productive scientific
collaboration by visiting and resident scientists.
Duties may include providing assistance in
securing housing and school enrollment, and
supporting various ad hoc needs of the Institutes
visitors.
15%As a member of a dynamic collaborative
team in a startup environment on campus, the
Program Coordinator Events Planning assumes a
variety of tasks as requested, which are not part
of the job description.
Required Qualifications
Required
Thorough knowledge and understanding of
concepts, principles and practices of event
planning and public relations, including event
design, organization and productionSkill in
effectively meeting budget and time constraints
Demonstrated organizational and project
management skills to work successfully with
clients to produce high quality events that meet
client needs and appropriately represent the
Institute
Highly developed interpersonal
communication skills including political acumen
and social perceptiveness
Highly developed judgment, decision-making
and problem recognition/avoidance/resolution
skills, including skill in determining those
issues/problems that need to be brought to
managements attention
