Plans and prioritizes the workflow of the department to meet deadlines. Uses discretion and judgment when screening visitors and telephone calls. Relays confidential messages in an appropriate manner. Plans or organizes workload ensuring that established priorities are met. Greets and assists guests and employees as needed. The Executive Assistant will be responsible for scheduling, meeting management, project management, deadline management and plays a key role in supporting high quality outcomes for Administrative Team.Sutter Gould medical Foundation (SGMF) is a non-profit, multi-specialty health care organization affiliated with Sutter Health. Based in Modesto, SGMF provides quality medical care, health education and research activities in a five county area. SGMF''s medical staff includes family practitioners, internists and pediatricians, as well as a range of specialist physicians. Services include imaging, nuclear medicine, a health library, health education programs, occupational medicine, diabetes education, nutrition counseling, infertility counseling, and weight management.Requires a high school diploma or equivalent. Associate degree in secretarial science or business administration required. Must have administrative experience processing paperwork in an organized manner; completing various forms accurately; typing professional business letters; planning and organizing meetings and taking minutes and transcribing them; and prioritizing demands on time in a busy office environment. 3 years of related executive administrative experience required or five years related executive secretarial/administrative experience in a healthcare/medical environment. Demonstrated proficiency in advanced administrative skills (e.g. minutes, scheduling) and MS Office suite, Advanced PowerPoint and Excel skills and Adobe Acrobat Professional. Ability to type 65 wpm with excellent command of grammar, spelling and composition are needed. Typing certificate required and due at time of interview. Demonstrated ability to be proactive and conceptually see how assignments fit into and impact the context of the whole. Strong interpersonal skills, a commitment to providing exceptional customer service. Prior experience in a rapidly changing healthcare setting with tight deadlines is preferred. Experience performing event planning helpful. Ability to maintain confidentiality of sensitive information is required. Ability to consistently uphold quality requirements related tot he daily operations and administrative functions at the Sutter Gould Medical Foundation (phone etiquette, document preparation, meeting coordination, deadline adherence, project coordination, and Board relations.) Communicate (both written and verbal) in a professional manner with all levels of individuals; is considered a representative of the Executive at all times. Ability to triage questions to appropriate party, or to provide answers when the information has already been learned from the subject matter expert. Ability to work as part of a team as often times the individual is also supporting a department, or provides backup support to other Executive Assistants, representative of the Executive at all times. Requires the ability to draft correspondence with minimal front-end input, for Executive approval. Requires the ability to handle multi-line phone systems. Provides wide range of support, including composing and editing letters, memoranda, reports, spreadsheets, timelines, and presentations. Ability to make travel arrangements and handles conference registration. Prepares documents and presentations for meetings and conferences as requested.
