Essential Functions
* Maintains open and frequent communication across the organization and act as a liaison between the Human Resources team and external constituents. Facilitates the communication of information of a confidential and sensitive nature.
* Ability to manage complex special projects, be resourceful to gather information and the ability to analyze the data and present a conclusion as requested
* Assists the team in creating reports and meeting presentations, proof-reading and distribution of program collateral, reports, agendas, handouts and other supporting documents.
* Coordinates activities amongst the HR team to ensure timely delivery of reports, documents and information for the Board Directors Meetings, Board Committee Meetings, Management Meetings, etc.
* Establishes appropriate priorities for daily office activities to ensure the smooth functioning of the office and the team.
* Uses independent judgment in triaging correspondence. Responds as needed to inquiries on behalf of the CHRO and other members of the HR Management Team, drafts responses, facilitates communication, and assists with follow-up, relieving the HR Management of administrative detail. Obtains needed background information and briefings for the CHROs phone calls and meetings. Edits and proof-reads documents to ensure content and style are in accordance with established standards.
* Manages scheduling priorities of daily, weekly, monthly, and yearly calendar to ensure appropriate bookings and time management.
* Drafts meeting agendas, provides supporting documents, attends meetings, and drafts meeting notes/action item summaries, and disseminates meeting material as needed.
* Plan, drive and deliver intricate and complex on-site and off-site events to include all planning, vendor management, communications and logistics.
* Maintaining organizational charts

Desired Skills Experience
* BA/BS or an equivalent combination of education and experience. College degree preferred.
* A minimum of five years of related experience, preferably supporting a top-level executive, performing duties similar to the above.
* Advanced computer skills Microsoft Office Suite a must
* Ability to exercise independent judgment and initiative to determine approach or action to take in routine, non-routine, sensitive and sometime complex situations.
* Strong interpersonal, verbal and written communication, and organizational skills attention to detail.
* High level of integrity ability to maintain the highest level of confidentiality and discretion and to exercise independent judgment.
* Commitment to customer service and teamwork. Understanding of administrative processes and procedures within a scientific environment.
* The ability to multi-task
* Able to reassess priorities and remain unflappable in challenging times and with conflicting priorities
* Data management of records, contacts and compliance requirements
* Meticulous schedule and calendar management
