<tr><td valign="top" width="450"><b>Food & Beverage-Studio Administrative AssistantJob Title: Food & Beverage-Studio Administrative AssistantJob Type: Full-TimeLocation: Laguna Beach, CAJob Description:PURPOSE OF POSITIONSupport the Food & Beverage Division by giving administrative support to the Director of Food & Beverage, Dining Director, Studio Executive Chef and Outlet Managers by answering incoming calls, assist with emails and mail, manage calendar, ordering, menu maintenance, Open Table maintenance, recipe copy and filing, TimeSaver management, event preparation, guest amenities, data reporting and filing. Act as a liaison to Human Resources, Public Relations, Marketing and Finance. Assist with any additional projects required.ESSENTIAL FUNCTIONS Provide F&B Manager Schedule data. Calendar appropriate BEOs on F&B Director’s Outlook calendar. Input F&B Director and Dining Director’s schedule on the Executive Manager Schedule. Manage F&B Director’s Outlook Calendar/Meeting Requests. Assist with menu writing, proofing, approval and distribution. Update menu matrix and distribute. Maintain current menus in Restaurant Book and on website. Format recipes.Divisionally assist with holiday menu writing, proofing, approval and distribution. Provide F&B Holiday information to appropriate departments including PR and Marketing and other publications as needed. Enter Holiday Information into Open Table for internal and external reservations. Maintain current menus in Restaurant Book and on website. Assist with Restaurant Book production, delivery and invoicing. Order weekly supplies for Studio kitchen. Assist with bulk order items such as uniforms, china, silver, glassware, linen. Maintain inventory for and order guest amenity and turndown amenity supplies. Oversee weekly Turndown Amenity. Approve invoices in Birchstreet system. Research pricing, availability and product options as needed.On a daily basis, maintain accurate information in TimeSaver for Studio associates. Run various reports as needed. Process paperwork generated by edits made in TimeSaver system. Work with Marketing to provide copy for various marketing materials to meet deadlines for standing pieces and short-term/single use pieces.Weekly, create Studio Kitchen schedule template, utilizing Delphi to obtain current BEO information, translate Delphi information into Studio Private Party report and distribute. Calendar BEOs on Chef’s Outlook calendar. Perform clerical duties such as typing incoming and outgoing correspondence, answering phones and filing necessary paperwork. Attend divisional meetings as needed. Obtain, print and file outlet specific holiday information for F&B Holiday Binders.Assist with ordering divisionally or outlet specific for linen, glassware, check presenters, etc. Order office supplies for division from Staples on the 10thand 25thof each month as well as order business cards on the 10thand 25thof each month.Prepare Mores binders for new associates. Assist with annual Mores testing. Prepare Separation paperwork to completion. Maintain outlet menu cover inventory and order as needed. Assist with ordering menu paper for inventory on property and off-site stock. Assist with menu printing as needed.QUALIFICATION STANDARDSEducation High school or equivalent education required.
