The incumbent is responsible for the regulatory coordination of clinical research studies. This includes responsibility for preparation, submission and maintenance of regulatory files to fulfill research requirements. Work with study monitors to process, review and collect the appropriate regulatory documents in a timely manner. Ability to work flexible hours to meet study deadlines and requirements. Work may be assigned by the investigator and/or Administrative Director, and assignments may be changed on an as-needed basis in order to ensure that studies and patient care needs are handled appropriately and in a timely manner. Perform in-patient surgical scheduling, admissions, and out-patient surgery scheduling for a multidisciplinary team of physicians at the UCLA Aortic Center. Obtain health insurance authorizations, arrange for pre-surgery appointments, and any special tests and procedures required by the surgical faculty in the Aortic Center. Supply ordering and inventory for the Aortic Center. Be familiar with medical terminology and surgical conditions. Use the CareConnect/MCCS computer programs for resource information as well as for necessary appointments requested by physicians. Use current CPT and ICD-9CM resource materials in transmitting information for surgery approvals. Provide instruction to patients on surgery preparation; act as a patient/physician liaison for other patient needs and questions. Assist patients in payments for professional services when no insurance is available. Provide assistance in keeping the scheduling manual current and timely. Provide operative schedule information to research nursing, physicians, billing agency and others as required.  Job Qualifications: Ability to establish and maintain cooperative working relationships with other staff members, physicians, administrators, patients and visitors. Knowledge of medical terminology. Ability to work independently with general instructions or guidelines. Perform in-patient surgical scheduling, admissions, and out-patient surgery scheduling for a multidisciplinary team of physicians at the UCLA Aortic Center. Obtain health insurance authorizations, arrange for pre-surgery appointments, and any special tests and procedures required by the surgical faculty in the Aortic Center. Skill in writing grammatically correct routine correspondence. Ability to use multi-line telephone system, fax, typewriter, copier. Ability to establish and maintain cooperative and collaborative working relationships with administrative and academic personnel. Skill in negotiating and exchanging ideas, information, and opinions to formulate procedures and arrive jointly at decisions with individuals and groups at various organizational levels. Ability to prioritize assignments to complete work in a timely manner when there are changes in assignment, pressure of deadlines, competing requirements and heavy workload. Writing skills to compose logical, detailed and grammatically correct documents. Skill in motivating others and stimulating people to effective actions. Skill in working independently and following through on assignments with minimal direction. Skill in listening perceptively, establishing rapport, and relaying information to faculty, staff and patients. Ability to provide and create reports as requested by the Director, PI or Chief.
