Perform new patient intake and respond to current patient requests in a timely manner.Responsible for the maintenance and coordination of the Director’s schedule with regards to meetings, personal appointments, private patients etc. Coordinate the travel and housing arrangements for out of town visitors to Child Division, including itinerary. Responsible for managing travel schedule and arrangements for director including the processing of reimbursement upon return. DIVISION GENERAL SUPPORTADMINISTRATIVE:Incumbent supports the Division Director, Division Administrator, General Child Faculty and staff.Schedules/coordinates meetings: orders AV, reserves rooms, follow up to ensure accuracy/completeness. Submits/tracks/follows up on Facilities and/or IT service requests.Copies, faxes, distributes, delivers and sends materials as needed. Independently composes/types letters/documents with speed and accuracy.Responsible for tracking and following up on detailed information for special projects. Establishes/maintains Division’s details multiple recordkeeping systems: phones lists, etc.Maintains/distributes Division directory lists; Updates as staff arrive/depart.Assists with the management and scheduling of the private library (Dennis Cantwell, M.D. Memorial).Assist with Child Grand Rounds scheduling, documentation, and setup sessions. CLINICAL:Assist Division Administrator in maintaining/updating Division call schedule; communicate changes to relevant parties; ensures accuracy.Assist in problem-solving when discrepancies occur. As directed by faculty, call pharmacies to authorize new and refill prescriptions called into division MDs.Assists Division Administrator in the resolution of charge document problems; ensure accuracy, completeness, timely submission. Assist faculty with patient related issues, such as scheduling, refills and other requests. PRACTICE PLAN/MEDICAL STAFF CREDENTIALINGAssists in the “on-boarding” of new providers: coordinating personal and system needs based on policy to provide smooth entry to Division.Initiate new and continuing 3rdparty payer applications for ALL Child providers.Assist providers in completing applications: answer questions, including provider information; resolve problems.Act as liaison between Child Division and the Physicians Support Services credentialing unit specialist work together to ensure division providers are fully credentialed and current with 3rdparty payers (MediCare, MediCal, etc).Track/monitor applications’ progress to ensure completion. Communicate relevant updates/changes/information to division administrator. Update applications/procedures as new applications/procedures are developed. Monitor documents needed and follow up with providers to ensure complete applications/files. Request that resigning providers complete all necessary dis-enrollment. Paperwork and forward this documentation to the UCLA Medical Staff office, PSS and other UCLA Medical Group. Maintain records.Assists in the “off-boarding” of providers.
