<tr><td valign="top" width="450"><b>Geosyntec Consultants is seeking an Administrative Specialist to join our team in Oakland, California. This role will provide office support services of a varied nature in support of professional staff and the Office Manager.
Job Responsibilities
Responsibilities will include, but are not limited to
- Assist Office Manager in making travel arrangements act as liaison with travel agency in Office Managers absence
- Word process and assemble proposals and reports to meet project deadlines coordinate and assist with reproduction needs
- Receive and respond to requests for assistance from Branch and Corporate Managers and staff and respond accordingly
- Work with BST Administrator on branch accounting functions including local branch operating account, petty cash account and accounts payable system.
- Take necessary action in the event of an emergency such as urgent mail, courier, facsimile or messages received in the absence of managers.
- Place service calls for all branch equipment repair and maintenance act as point of contact for vendors for office and field supplies
- Assist with receptionist duties, routine errands and coordination of employee functions as needed
-Perform related administrative work as required
REQUIREMENTS
The preferred candidate will have a diploma from an accredited high school or GED certificate and a minimum of 2 to 3 years of related secretarial or administrative experience.
Other requirements include
- Knowledge of Windows based software including Word 6.0 and EXCEL 5.0, and experience using word processing equipment
- Knowledge of administrative policies and procedures
- Ability to read and comprehend simple instructions, short correspondence and memos
- Ability to apply common sense understanding to carry out instructions furnished in written or oral form
- Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fraction and decimals.
