The Office of Undergraduate Affairs in the Physical and Biological
Sciences Division provides centralized student advising,
curriculum planning, and student services support to
undergraduate students and academic departments in the
Division of Physical and Biological Sciences Chemistry and
Biochemistry Earth and Planetary Sciences Ecology and
Evolutionary Biology Mathematics Molecular, Cell and
Developmental Biology and Physics. In 2010-11, the PBSci
Division represented 26.4% of campus undergraduate
enrollments, 14.4% of undergraduate headcount majors, and
18.9% of bachelors degrees conferred. The unit also supports
graduate-only departments that provide undergraduate courses
and service curricula Astronomy and Astrophysics, Microbiology
and Environmental Toxicology, and Ocean Sciences. Each of four
undergraduate advisors is responsible for advising for two
departments and providing back-up for other advisors.
Instructional and student support staff work cooperatively across
functional areas to meet cyclical deadlines in support of course
scheduling, curriculum and leave planning, student scholarships
and awards, etc.
Under supervision of the Office Manager, the Undergraduate
Affairs Assistant provides administrative support for instruction,
advising, and student services.
Qualifications include
Related administrative experience
Solid technical skills in word processing Microsoft
Word, spreadsheet Excel, database applications FileMaker Pro
and/or other databases, experience with web applications, PDF
files Adobe Acrobat Professional, Internet navigation, and e-
mail experience with desktop publishing and/or design
Ability to organize and follow-through effectively on
multiple work assignments according to priorities and despite
unexpected or changing demands with accuracy and attention to
detail
Ability to exercise discretion and good judgment,
especially in maintaining confidentiality
Demonstrated ability to write concise, logical, and
grammatically correct business correspondence
