<tr><td valign="top" width="450"><b>Administrative Assistant, Drug SafetyDrug Safety | South San Francisco, CA, United StatesSummary:The Administrative Assistant will provide support to Drug Safety Operations, Drug Safety Systems, and other Drug Safety functional groups as assigned. This person will be relied upon to relieve the Directors, management and/or team members of day-to-day administrative tasks.Essential/Primary Duties, Functions and Responsibilities: * Responds to and anticipates administrative/organizational needs of Directors and other group management.* Interacts and supports functional groups and prepares materials for meetings. * Arranges travel and accommodations for group. Supports completing expense reports.* Works with Directors and their teams to solve problems and acts quickly to achieve solutions.* Interacts with other management or teams comfortably including relaying pertinent information.* Maintains electronic calendars for assigned management. * Works with management and group members to resolve any conflicts.* Reinforces image and professionalism of the organization through polished and professional communications and interactions.* May handle confidential information and performs duties in the appropriate manner.* Composes routine correspondence.* Ensures consistent services and support quality across the organization by providing back up support to other administrative team members.* Participates in recruiting efforts by working with Staffing department on scheduling of interviews, coordination of interview packets and hosting of candidate. Participates in on-boarding activities.* Edits or creates PowerPoint presentations and Word documents.* May arrange off sites and meetings.* Other Duties as assigned.RequirementsWork Experience:* Minimum 4 years experience in progressively increasing positions of responsibility. Functional/Technical Knowledge & Skills: * High level of working knowledge of MS Office Suite.* Other Requirements: Ability to work within a team to help meet goals and objectives.* Must be resourceful.* Ability to learn quickly and take on new challenges as they arise.* Proven experience of working in confidential situations.* Proven ability to work under tight deadlines and pressure in a composed manner.* Must have excellent customer-service orientation, high degree of professionalism, and ability to work with little or no direction, strong team player.* Must be flexible and able to manage multiple tasks, and have strong attention to detail.* Excellent organizational, written and verbal communication skills a must. <<
