Position Description
The Transportation Operations Support position works with high volume freight forwarding. The overall goal is help Sales Representatives reach monthly revenue goals by delivering high level customer service. Responsibilities to include the monitoring of shipments from start to finish, the value add services of detailed information communications including reports, quotes and load information. A typical day starts with morning board check, what is covered, what is needed. Ensure prior days loads are all marked loaded. Enter any orders from overnight transmission. Update customer SOPs for information. Consistent hourly checking trucks to ensure on schedule for pick ups. Notify Account Rep of any issues. Enter orders, make appointments (5 to 20/day). Update fuel surcharges every Monday. Clear any event logs. Check on trucks to ensure deliveries are made. Enter rate quotes in the system and send to customers. Follow up on prior quotes. Check customer website for hot orders and distribute to network, quote customers, enter wins. Make monthly reports for customers. Send out additional marketing material for customers. Get quotes and research market conditions on quotes.
Responsibilities
- Maintain high level of customer service to both internal and external customers
- Customer organization to include: Update and organize all records in IS, phones numbers, w-codes, directions, contact info, web info, credit, SSO, SOPs, rates, and business reviews
- Update SOPs on Master file on pool network
- Provide data interpretation and cleansing as required
- Run BI reports on customers to ensure on track for goals and trends
- Track all modes working with customer documented in spreadsheets
- Provide support for customer Track & Trace/POD inquiries
- Resolve and track customer complaints and issues
- Enter shipment/load information from customers into SMS operating systems as needed
- Set up pick up times and deliveries appointments
- Get accurate directions and enter them in IS
- Manage the daily freight board to proactively address any issues
- Perform other related duties as assigned by Account Manager
- Monitor loads for exception and manage exceptions to closure
- Work cross-functionally between departments (carrier, flatbeds, partial, consolidation)
Preferred Qualifications
- Detail oriented individual and well organized
- Sales support by sending info, reports, e-mails
- Typing/Data entry skills of 60 wpm
- Good communication skills verbal, written, e-mail, and IM
- Intermediate to high level of MS Word, Excel, and Power Point
- Great customer service skills and etiquette
- Internet and web base skills
- General accounting knowledge
- Shipping BOL knowledge
- High School Diploma or Equivalent
