JOB SUMMARY:
Regional Campuses and Distance Education (RCDE) requires an organized, detail-oriented, customer-oriented, and proactive individual to provide clerical and Program support. Primary responsibility will be to provide administrative support to the Associate Vice Provost for Nursing Program locally and for distance campus administrative functions. This position will need to have excellent multi-tasking skills and the ability to work productively in a fast-paced environment. RESPONSIBILITIES: 1.Routine office operations include scheduling meetings, accurately maintaining calendars, organizing meetings, arranging travel, preparing correspondence, copying, scanning organizing files, greeting guests, answering telephones, directing calls to appropriate campus sites, assisting with email messages, and other duties as requested. 2. Assist in the preparation of presentation materials including Microsoft Word documents, Excel documents, PowerPoint presentations, PDFs, charts, graphs, data input, and handouts. 3. Assist in the preparation and coordination of meetings and workshops, preparing agendas; transcribe, organize, record and revise meeting minutes;, making room and catering arrangements, and assuring appropriate technology is in place and functioning. (Occasional travel may be required) 4. Serve as clerical support to meetings chaired or facilitated by RCDE Associate Vice Provost by preparing and distributing agendas, taking minutes, and assisting meeting participants as needed. (Occasional travel may be required) 5. Assist with the data base of students and program outcome measures and statistics for State Board of Nursing and national Accreditation purposes. 6. Assist in the preparation and tracking of documents supporting the work of RCDE Nursing program and/or data bases; organize and maintain faculty and staff files and records for accreditation and regulatory requirements. 7. Work closely with distance and campus site clerical staff as assigned by AVP in support of the nursing program. 8. Coordinate with RCDE Business Office for the documentation and processing (initiate and monitor purchases and supplies) of purchases and payments for the RCDE Nursing program. Monitor program budget. 9. Ability to maintain confidentiality of privileged and sensitive information and maintain discretion. 10. May assist with CNA program data collection and work collaboratively with Utah Registry of Health Occupations. 11. Excellent proofreading and basic editing skills. 12. Professional and courteous telephone skills with the ability to effectively communicate, both verbally and in writing, to a diverse population. 13. Other duties as assigned. MINIMUM QUALIFICATIONS: 1. Four years of office work experience or an Associate's degree plus 2 years of directly related office support work experience with increasing responsibilities or a Bachelor's degree in a related field. 2. Demonstrated Proficiency in Microsoft Excel, Microsoft Word, Power Point, and Microsoft Outlook software. 3. Knowledge of office procedure methods and equipment including applicable software applications, word processing, spreadsheets, databases, web design and computer information systems. 3. Effective interpersonal, verbal, and written communication skills. 4. Experience in customer service/public relations/telephone etiquette. 5. Ability to work in a team environment and professionally interact with diverse groups. 6. Ability to work independently and without close supervision; be teachable, and be able to coordinate projects with others. Effective oral, written, and interpersonal communication and prioritization skills and ability to follow through on projects. 7. Comply with background check requirements. 8. High ethical values.
