JOB SUMMARY:
The Fulfillment Coordinator is an integral part of the reservations team and is responsible for coordinating the preparation, production and distribution of all guest documents related to the bookings of the Central Reservation Department. DUTIES/RESPONSIBILITIES Be able to operate Windows based applications as well as web based programs. Works in the Fulfillment Assembly queue to record actions taken. Assemble confirmations with appropriate inserts; insurance brochure, central reservations brochures, tickets and vouchers, etc., as booked. Prepare reservations for Will Call/Concierge Perform quality assurance processes reviewing all reservations for accuracy, tracking reservation booking and fulfillment issues, and assisting with resolutions and agent education. Coordinate reservation and travel document tracking and fulfillment, including printing and processing confirmations, tickets and vouchers for various activity and service reservation components. Regularly check the Accounting Audit Queue for specific reservation fulfillment comments from agents and supervisors for a reservation related issue. Follow steps to assure the appropriate person is notified or make the requested changes. Answer fulfillment questions regarding ticketing, confirmations and reservations from clients, sales agents and vendors. Void or make changes with above tickets in Sirius, after canceling or adding additional products. Reconcile the amount to be refunded or charged to the guest. If there is an additional payment due, make payment in reservation. Print address labels and prepare brochure and promotional mailings Be able to prioritize, organize and be detail oriented to complete designated work assignments. Motivated to assist others and ask for additional assignments. Be able to provide courteous and professional assistance to all guests (internal and external) and solve problem (within guidelines) to provide excellent customer service at all times. Contribute to and help maintain a professional, positive team oriented atmosphere within the call center. Keep the supervisor and manager apprised of problems, discrepancies, and occurrences with guests, outside vendors or within the call center. Be knowledgeable with all products, packages, promotions, and procedures of call center. Participate and pass requirements of the training process of the call center. Assist in the daily responsibilities and duties of the call center and perform other tasks as assigned. Follow and maintain security and safety standards at all times. Ability to work any assigned shift including weekends and holidays. Ability to work overtime as necessitated by business/weather conditions. Flexibility is a must. WORKING RELATIONSHIP Reports to Central Reservations Manager Works closely with Front Desk Agents, Vacations Specialists, Reservations Supervisors and Sales team. PHYSICAL REQUIREMENTS Office situation, i.e. sitting, standing or walking in a small area for extended periods of time. Repetitive document fulfillment, phone and keyboard action; manual dexterity required QUALIFICATIONS High School education with one year of Data Entry, Document Fulfillment, Sales or Customer Service experience preferred or other office experience from which comparable knowledge and skills are acquired is desired, but not mandatory. Excellent written and verbal communication skills essential. Attention to detail, ability to multi-task, administrative and strong organizational skills required. Strong computer proficiency including knowledge of Windows applications, (Word, Excel etc.) preferred. Manual dexterity and good keyboarding skills preferred. Mathematical, reasoning and problem solving skills a plus. Driver?s license and personal vehicle required.
