JOB SUMMARY:
***Position Overview*** The front desk administrative assistant provides general office support by performing a variety of clerical activities and related tasks. This position will be responsible for answering incoming calls on a multi-line phone system, directing calls to appropriate associates, distribution of incoming and outgoing mail, maintaining conference room schedules, screening visitors, and acting as a liaison with building maintenance, as well as performing additional clerical duties as assigned. ***Major Duties*** 1) Answer multi-line telephone and direct the caller to the appropriate staff member. Take and retrieve messages for office staff as needed. 2) Greet, screen, and direct visitors. 3) Track and maintain schedules and contact information for key personnel. 4) Receive, sort, log and distribute incoming mail. Operate mail machine to process outgoing mail. 5) Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.) 6) Process, track and deliver office supplies. Maintain office petty cash. 7) Maintain office conference room schedules. 8) Act as a liaison with building maintenance for non-meeting space. 9) May also assist with other related clerical duties such as photocopying, faxing, filing and collating. ***Minimum Qualifications**** Education 1) High school diploma or equivalent (GED) Experience/Skills 2) 18 months of relevant experience and/or training, or equivalent combination of education and experience resulting in demonstrated ability to perform major duties. 3) Experience with front desk reception and multiline phone systems such as PBX or VoIP. 4) Ability to professionally greet, screen and direct visitors. 5) Strong organizational skills, including a demonstrated ability to complete tasks while experiencing frequent interruptions. 6) Well-developed verbal and written communication skills. Possess excellent interpersonal communication skills. 7) Ability to work independently on assigned tasks, as well as to accept direction from multiple sources on given assignments. 8) Able to work collaboratively with the administrative team associates.
