               <td align="left"><font style="font-size: 100%;">Administrative Assistant<BR> <BR>Department Provost Office<BR> <BR>Location BH 1011<BR> <BR>Work Unit Description <BR> <BR> <BR> <BR>Work Schedule, Hours, FTE, Salary Range <BR> <BR> <BR>* FTE: 1.0<BR>* Salary: $14.57-$19.64 per hour<BR>* Location: OHSU Marquam Hill, Portland, OR<BR> <BR>Functions/Duties of Position <BR> <BR> <BR>This position provides general administrative support in the Provost Office, including direct support as assigned to the Assistant Vice Provost for Assessment & Evaluation, the Assistant Vice Provost for Strategic Planning and Program Development, and the Associate Vice Provost for Accreditation & Program Approval.<BR>Duties include (but are not limited to): <BR>* Provide daily administrative support to the Provost Office including: support to a manager, team, or committee<BR>* Word processes a variety of correspondence, reports, memos, or other information from dictation, rough draft or general instructions<BR>* Compose correspondence, reports, memos and other documents<BR>* Answer multiple phone lines, screen and refer call as appropriate<BR>* Copy and mail correspondence from the Provost to a variety of locations<BR>* Schedule meetings as directed<BR>* Prepare meeting materials<BR>* Organize and maintain filing systems<BR>* Maintain multiple Outlook calendars and schedule appointments and conferences<BR>* Make travel arrangements, arrange schedules of visits, make reservations<BR>* Complete travel vouchers, expense claims, and reports<BR>* Assist in scheduling large meetings with multiple participants<BR>* Assist other Executive Assistants, Administrative Coordinators, and Administrative Assistants in the Provost offices<BR> <BR>Job Requirements <BR> <BR> <BR>Required:<BR>* Two years of general office or secretarial experience;- OR-An Associate's degree or certificate in office occupations or office technology and one year of general office or secretarial experience;- OR -A Bachelor's degree and one year of general office or secretarial experience;- OR -An equivalent combination of training and experience<BR>* Three years of administrative support experience (consistent with the duties above)<BR>* Intermediate to advanced skill with Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, and Access<BR>* Working knowledge of standard office equipment including multi-line phones<BR>* Excellent organizational skill, attention to detail, judgment and discretion<BR>* Ability to work independently<BR>* Effective communication skills<BR>* Skill at meeting deadlines, multi-tasking and establishing priorities<BR>* Professional and attentive customer service skills, by phone, email and in person, including the ability to work with people of diverse backgrounds<BR>* Ability to maintain strict confidentiality with sensitive and/or proprietary information<BR>Preferred:<BR>* Outlook email and scheduling<BR>* Oracle financials<BR> <BR>Additional Details <BR> <BR> <BR> <BR>How To Apply <BR> <BR> Apply here online.
